The Problem

The clinic ran 18 appointments per day. Six or seven patients would not show up. Every single day, without fail. What We Built

AiGenTrax implemented a three-stage WhatsApp automation sequence using the WhatsApp Business API integrated with the clinic's booking system via n8n:

  • → 48 hours before: personalised WhatsApp message with confirm/reschedule buttons
  • → 24 hours before: second message if no response received
  • → 2 hours before: final reminder to confirmed patients only, with clinic address

Patients who tapped "reschedule" were automatically offered three available slots and rebooked without any staff involvement. Total build time: 10 days from kick-off to go-live.
